We are now looking for a Reservation Co Ordinator to join our friendly Reservations team.

The Reservation Co Ordinator will be taking bookings for our Spa, Restaurants and all activities, on and off site. They will deal with transfers to and from the hotel. Strong customer service and computer skills are a must.

Other Duties:

• Initiate contact with first time guests to review upcoming and available activities.
• Manage and action at least two or more guest requests passed on by the Reservations Agents.
• Personalise activity recommendations and itineraries based on guest profiles, interests, and preferences.

• Reconfirm all guest activities with external suppliers at least 24 hours in advance.
• Coordinate all aspects of guest excursions and experiences, including arranging transportation and off-site logistics.

• Collaborate closely with internal departments to ensure all scheduled activities are aligned and communicated.

• Provide backup support to Reservations Agents during peak periods or as required.
• Willingness to work weekends and holidays as needed, based on operational demands.

• Complete reservations for Rooms, Spa, Restaurant, and guest activities across all departments, using full knowledge of availability, rates, and booking procedures.
• Respond promptly to reservation-related emails and phone calls in accordance with Heckfield Place standards.
• Collaborate with the Bothy (spa) and Restaurant teams for up-to-date availability and to provide integrated guest experiences.
• Offer tailored local recommendations by maintaining strong knowledge of the surrounding area, dining venues, and points of interest.

• Ensure timely and effective daily handovers within the team and across departments to support operational efficiency and service excellence.
